Aloware’s HubSpot integration: power at the company level

Log calls and SMS directly at HubSpot companies level no duplicate contacts, no clutter. Aloware streamlines your workflow so reps and admins focus on real customer data, not CRM busywork.

Why switch to Aloware for HubSpot company level integration?

Other CCaaS tools Dialpad, Kixie, CloudTalk, all try to fit company engagement into a contact centric mold. Aloware lets you log calls and texts directly at company level records, even if there’s no matching contact in HubSpot. You get a single, clean timeline for every account less noise, less confusion, more time for focus.

Aloware’s HubSpot company level integration cuts the clutter.:

  • Log calls and SMS directly to company records no extra contacts, no workarounds.
  • Your team spends less time on data hygiene, more time focusing on what really matters.
  • Work natively inside HubSpot’s UI with seamless (Aloware Dialer and SMS Messenger In CRM integration), two way sync

What problem does this actually solve?

With most CCaaS platforms, you’re forced to create (and maintain) a separate contact for every Company phone number, even if all you need is a company level log. This turns your CRM into a mess, slows down your sales team, and makes reporting unreliable.
Aloware solves this by:

  • Logging calls/SMS straight to the company record, without a matching contact
  • Automatically associating Aloware contacts with HubSpot companies (by phone)
  • Preventing duplicate contacts both in HubSpot and Aloware

No more contact spam. No more missed logs. Just the conversations where you need them.

How It Works?

Logging Communications to Companies (Not Just Contacts)

Typical flow:

1- You call or SMS a company’s main number from HubSpot or Aloware.

Making Calls from HubSpot
Sending SMS via HubSpot

2- Aloware finds the matching at company level (by phone).

3- The call or SMS is logged on that company record even if there’s no matching contact.

Call Engagement
SMS Engagement

4- If there is a matching contact, engagement is logged on both company and contact.

5- Check the Basic Company information in the Integration Card in Aloware.

Only HubSpot Company Sync integration Card
HubSpot Contact and Company Sync (same phone number) integration Card
HubSpot Contact, Deals and Company Sync (same phone number) integration Card
HubSpot Multi Entity Contacts (2 Contacts), Deals and Company Sync (same phone number) integration Card

Result:
Company history is complete. Contact data stays clean.
You’re not forced to “fake” a contact just to track an interaction.

Core Behaviors

Direct company engagement logging

  • Calls and SMS (inbound and outbound) get attached to the company level even if there’s no matching contact.
  • If there is a contact with the same phone, both contact and company receive the activity log.

Smart contact creation (admin controlled)

  • Bi directional sync: Aloware can push new contacts to HubSpot, but only if enabled.
  • Inbound only sync: HubSpot controls contact creation, and Aloware only syncs what’s in your CRM.

Clean data, zero duplicates

  • By default: No new HubSpot contact is created just to log a call or SMS.
  • Only when you need: Enable “Contact Creation” in the integration, and Aloware can push new contacts to HubSpot but only if they don’t already exist.
  • Existing Aloware contact + new HubSpot company (same number): Aloware links, doesn’t duplicate.
  • Business logic:
    • Change the company’s phone from HubSpot? Associations update automatically.
    • Remove a phone or entire Company? Link is removed.
    • Add it back? Sync resumes.

Competitive context

Dialpad Always logs calls/SMS at the contact level. If you want company activity, you need to keep contacts meticulously linked to companies. “Company” visibility is a mirror of contact activities no direct logging to the company.
Aircall Prioritizes contacts. Calls/SMS log to contacts first, only falling back to the company if no contact exists. No true support for handling duplicate companies or multiple contacts with the same number “first match wins.”
Kixie Syncs calls to contacts and only then mirrors them to the associated company. No contact means no company log. No way to handle shared numbers or multi entity situations.
CloudTalk Requires numbers to be manually copied to both company and contact records. If a company number isn’t also present on a contact, logging fails

Typical user flows

  • Initiate calls or SMS directly from the company level.
    • No matching contact? Aloware handles the log at the company level.
    • Matching contact? Both records are updated.
  • View full call/SMS history on company records.
  • Use the Aloware integration card in HubSpot to see all associations: company, contact, deals at a glance.
  • One click “Sync with HubSpot”: Push an Aloware contact to HubSpot if allowed; link them to the right company automatically.
  • Power Dialer CRM View and Pop up: Call, text, and view company data without ever leaving your CRM workflow.

Use cases: real scenarios

  1. New Company, New Phone
  • Rep creates a HubSpot company with a new number.
  • Calls or SMS from Aloware go straight to the company record. No new contact unless admin says so.
  1. Company and Contact Share Phone Number
  • Call/SMS is logged to both company and contact. Aloware manages the association, no duplicates.
  1. Multiple Companies, Same Phone
  • Only the primary company syncs. If another is created, admin sees a “duplicate phone” warning.
  1. Company Deletes/Updates
  • If a company is deleted in HubSpot, Aloware removes the association. Same for phone number changes.
  1. Company phone changed:
  • Link updates or removes itself based on phone number changes.
  1. Removing/adding back phone:
  • Association is dropped/created as phone numbers change.

How this fits with Aloware’s other tools

  • Talk Dialer and Power Dialer: This is the next evolution of CRM telephony. Company level data, click to call and SMS, all visible from the CRM View and pop up features.
  • Aloware Contacts: No more toggling between contacts/companies one clean record per account.
  • Conversation Intelligence: See all company interactions, not just contact chatter.
  • SMS Marketing: Campaigns run through contact records for now; company level engagement is on the roadmap.

What’s needed to configure?

  • Decide: who creates contacts Aloware, HubSpot, or both?
  • Enable company engagement logging in Aloware settings.
  • Regularly review duplicates or phone number conflicts using the Integrations card.
  • Train reps to start communication from the company, not just contact records.
