AloAi Voice Agents make it easy to provide exceptional customer service with limited resources. These AI-powered assistants speak with customers in real time and resolve common requests, so your callers don’t have to wait on hold.
In this step-by-step guide, we’ll walk you through how to set up your new voice agent and equip it for success while serving your customers.

Step 1: Access the AloAi agents tab
First, log into your Aloware dashboard. From there, locate and click on the AloAi Agents tab. This will take you to the section where you can manage and create voice agents.
Once you’re there, look for the Create New Agent button at the top of the page and select it. From the options available, choose Voice Agent to quickly build an agent that interacts with your customers over the phone.
Step 2: Name your agent
After selecting “Voice Agent,” you’ll need to give your new agent a name. Choose a name that reflects the purpose of the agent and helps you easily identify it later.
Step 3: Define your agent’s purpose and choose your AI model
Now you’ll need to describe the agent’s purpose, or the goal it’s trying to accomplish for your customers. Whether it’s answering basic queries, assisting with bookings, or providing product recommendations, make sure the agent’s goal aligns with your business needs. This will help you configure the agent more effectively.
Next, you’ll have to choose between the two AI models currently available to power your agent: GPT-40 Mini Realtime Preview or GPT-40 Realtime Preview. Here’s a quick guide to help you differentiate between the choices:
- Use GPT-40 Mini Realtime Preview if you prioritize speed and cost-efficiency, and if you typically handle high-volume, straightforward customer queries. It’s ideal for scenarios where you need faster response times with a good, but not necessarily the most complex, level of interaction.
- Use GPT-40 Realtime Preview if you need highly accurate, nuanced, and contextually rich responses for more sophisticated customer service scenarios. It’s the best choice for handling complex customer issues, understanding emotional tone, or providing expert-level assistance.
Step 4: Select your agent’s voice
The next step is crucial for setting the tone of your customer interactions. AloAi provides a range of preset voices that differ in tone, warmth, and style. Some are soothing and professional, while others sound more casual or upbeat.
Take some time to play around with different voice options to find the one that best represents your brand’s personality. For example, if you’re running a customer service department, a warm and enthusiastic voice might be the right choice, while a more crisply professional tone might suit a financial services firm.
Step 5: Add your agent’s greeting message
Once you’ve chosen a voice, it’s time to write the greeting message. This is the first thing customers will hear when they call your business. Personalization is key here—adding a variable such as the caller’s name will make the experience feel more tailored.
For example: “Hello, [FIRST NAME], thank you for calling. How can I assist you today?”
By including personalized elements in the greeting, you’re setting the tone for a high-quality customer service experience from the get-go.
Step 6: Set your agent’s engagement expiration
In this step, you’ll determine how long the agent’s engagement will last with the caller. You can adjust this setting based on the typical duration of your customer interactions.
Step 7: Shape your agent’s personality with detailed Instructions
Next, head over to the Instructions tab. This is where you can define the agent’s personality, tone, and the content it will relay. While a simple description may suffice, we highly encourage you to be as detailed as possible here.
For example, if you want the agent to sound empathetic or casual, include instructions on the tone and style of responses. The more specific you are, the better the voice agent will reflect your brand’s voice and ethos.
Step 8: Deploy your agent
To deploy your voice agent, go to the Deployment section. You’ll be directed to the navigation menu where you will choose Lines and then route your agent. Select the phone line that will be used to connect customers to the voice agent.
Now, you’ll have the option to choose whether you want the agent to pick up immediately when a call comes in. Just turn on the AloAi Agent switch and choose your preferred agent, and it will start fielding any incoming calls.
Step 9: Customize IVR and call routing
Or if you prefer your voice agent to work within an IVR (Interactive Voice Response) system, you can also launch that workflow here. This allows customers to choose between different options like sales or support before they are routed to the voice agent.
Simply turn on the IVR switch to select an existing IVR or create a new one.
Click the Add a Step button and then decide how you want to direct the caller experience. Create prompts like “Press 1 for Sales, Press 2 for Support,” to route customers accordingly. For instance, if a caller presses “2” for support, they can be immediately connected to your AloAi voice agent for assistance.
Simply click the Select a Task dropdown menu and choose the Route to AloAi Voice Agent option before designating an agent.
Step 10: Prevent future missed calls
One of the key advantages of using an AloAi voice agent is that it prevents you from ever missing a call. To save customers from having to leave voicemails and wait for a callback, just navigate to the Missed Calls section. Then select the option that automatically sends missed calls to your voice agent. This ensures that your customers always receive assistance, even if your team is unable to answer.
Step 11: Test your agent
Once you’ve set everything up, run a test to ensure everything is working smoothly. Call your business number to check if the voice agent greets you correctly, handles your queries, and follows the right routing instructions.

With these simple steps, you can equip your AloAi Voice Agent to provide a fast, friendly, and personalized customer experience.
