Using Aloware’s Salesforce integration: A how-to guide

Integrating Salesforce with Aloware can transform your team’s workflow and streamline your lead communication management. By syncing your contacts, leads, calls, and texts bi-directionally between both platforms, you can access the full picture of customer interactions in either spot. 

In this blog post, we’ll walk you through the simple steps required to set up the integration along with how it performs in action. 

Step 1: Authenticate your connection 

To get started, first log in to your Aloware dashboard. From there, navigate to the Integrations tab. Once you’re in the integrations section, look for the Salesforce button..

  1. Next, click on Settings.
  2. Then click Authenticate to begin the integration process.

Step 2: Connect Aloware to Salesforce

Once you click Authenticate, you will be directed to a configuration screen where you can finalize the integration. This is where you’ll link your Salesforce account to Aloware.

  1. Click Next.
  2. When prompted, click Connect.
  3. Authorize syncing the two platforms when prompted. You’ll then see a pop-up window appear confirming success, and you may close the window after. 

Step 3: Enable the two-way data sync

Now that your accounts are connected, it’s time to fine-tune your sync settings. You’ll want to ensure that your leads and users are syncing properly between Salesforce and Aloware. This setup should be bi-directional, meaning that updates made in one platform will automatically reflect in the other.

  1. First, click the Pull Salesforce Leads button to initiate lead sync. 
  1. Scroll down to the Leads section.
  2. Make sure the sync is set to be bi-directional. You’ll see arrows pointing both ways. If it’s one-way (unidirectional), simply toggle the sync direction to both sides.

Step 4: Create and sync a new contact

Once your integration is configured, you can create a new contact in Aloware and see the sync in action.

  1. Go to Create New Contact and fill in the contact’s information, including their first name, last name, and phone number.
  2. After entering the details, click Save.
  1. You’ll now be able to see that this contact has been added in both Aloware and Salesforce, syncing seamlessly across both platforms.

Step 5: Make a call from Aloware and sync data

One of the most powerful features of the integration is having the ability to make calls directly from Aloware, while ensuring all call details sync back to Salesforce in real-time.

  1. To make a call, click on the contact’s profile in Aloware.
  2. Select the phone line you’d like to use for the call.
  3. Click the Call button to initiate the Aloware dialer. 
  4. After the call ends, you can set the call disposition (e.g., answered, left voicemail) to reflect the outcome of the conversation.
  1. Next, update the contact disposition to let your team know the current status of the lead.

Once the call is completed, all important call details—such as duration, outcome, line used, and even the call recording—will automatically sync into Salesforce.

Step 6: Sync text messages between platforms

The integration doesn’t just work for calls; it also syncs your SMS communications. After each call, it’s a good practice to send a follow-up text to your contact.

  1. Send a text message to your contact via Aloware.
  2. When you check Salesforce, you’ll see that the text message is automatically recorded in your outreach sequence.

If you send any attachments with the message, they will also appear in Salesforce, providing you with a complete history of all communications with that lead.

Step 7: Update contact information 

Any changes you make to a contact in Salesforce, like updating their phone number or email address, will automatically sync back to Aloware.

  1. In Salesforce, go to the contact’s details page.
  2. Edit the contact’s information, such as adding a new email address.
  1. Save the changes.

Then, head over to Aloware, and you’ll see that the contact’s updated information has been reflected in the system without any extra effort on your part.

Step 8: Review and evaluate data 

Once your calls and texts are synced, you can access a wealth of data within Salesforce for review and evaluation. For example, you can:

  • Listen to the call recording (great for coaching purposes).
  • View the call’s duration, outcome, and associated contact details.
  • Check the SMS history, including any attachments, to get a full picture of your interactions with the lead.

This comprehensive data ensures that your team can stay aligned on every lead and make informed decisions on follow-up actions.
