Optimizing speed to lead with HubSpot workflows and Aloware: a step-by-step guide

With Aloware’s HubSpot integration, you can automate SMS follow-ups to start conversations faster after your leads take a desired action. We created the step-by-step guide below to show how you can use HubSpot workflows to set up Aloware SMS campaign triggers. 

  1. Create a new workflow:  Start by logging into your HubSpot account and navigating to the workflows section. Click on “Create workflow” to begin setting up your automated process. Choose the type of workflow that suits your needs.
  2. Set up enrollment triggers: Click on “Set up triggers” and select “When filter criteria is met.” This allows you to specify conditions under which contacts will enter this workflow. For this example, we’ll filter based on the contact’s source.
  3. Choose contact properties: Under the filter criteria, select “Contact properties” to specify which attributes will trigger the workflow. Search for “Original source” and set it to “Paid social campaign” to prioritize leads coming from this channel.
  4. Add date filters: To ensure you’re working with the most recent leads, add a date filter. Go back to “Contact properties,” search for “Date,” and then set it to capture leads from the last two weeks (or whatever your desired time frame may be.) For instance, if today is August 16, set the date filter to include leads after August 1. 
  5. Deploy Aloware’s integration: With your contact filters set, now it’s time to add your automated SMS cues with Aloware. Go to the “Actions” section of the workflow and select the Aloware integration from the list of available apps.
  6. Send automated SMS: Choose “Send a text” from Aloware’s options. You’ll need to select the phone line attached to the messages. This could be your main business line or an individual team member’s line, depending on your preference.
  7. Craft your message: Enter the SMS content you want to send. This could be a pre-written message from your marketing team or a customized note. Paste your message into the designated field and save the action. This ensures that every new lead receives an immediate conversation starter via SMS.

Adding Leads to the Power Dialer

To further enhance your speed to lead, have your workflow automatically add new leads to your reps’ Power Dialer. This helps you adhere to sales follow up best practices while eliminating the manual work of lead assignments. 

  1. Select Power Dialer options: In the Aloware integration section, choose “Add to user’s Power Dialer.” Select the user who will handle these calls (for instance, yourself, a ring group, or a specific team member).
  2. Configure phone number settings: Choose the phone number your leads will be associated with from the options provided. By default, Aloware adds the newest leads to the top of reps’ power dialer lists for optimal speed to lead (though you can adjust this if desired.)
  3. Include or exclude international numbers: If your campaign is local, you can set the option to exclude international phone numbers. This helps in filtering out irrelevant leads and focusing on the domestic market.

Activating your new workflow 

Once you have a workflow you’re happy with, it’s time to push it live and see how it transforms your sales process! Now you can look forward to more lead engagement, increased call pickup rates, and higher rep talk times. 

  1. Review settings: Go through your workflow settings to ensure all filters and actions are correctly set up. Check that all triggers, messages, and dialer configurations are accurate.
  2. Publish workflow: Once you’re satisfied with the setup, click on “Review and Publish.” HubSpot will process the workflow, and you’ll have the option to enroll existing contacts if needed.
  3. Activate the workflow: Turn on the workflow by following the final prompts. Your power dialer will start populating with new leads, and your SMS messages will be sent automatically.

Monitoring and improving your workflow
